How we collect, use and protect personal data.
Last updated 20 October 2026
Who we are
Erudite Academy Limited (“Erudite Academy”, “we”, “us”) is an education provider based in Hong Kong. This policy explains how we handle personal data about parents, students, schools, partners and visitors to eruditeacademy.co, in line with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong.
What we collect
- When you send an enquiry: who you are enquiring as, your name, email address, phone or WhatsApp number, school or organisation, the student’s year group or age, the programmes you are interested in, your preferred delivery and your message.
- When a student joins a programme: the student’s name and age or year group, parent or guardian contact details, attendance, progress notes, assessments and the work students produce.
- When you contact us another way: details you share by email, phone, WhatsApp or when you book a meeting with us.
This website does not use advertising or tracking cookies. Our hosting providers may keep standard technical logs, such as IP addresses and browser types, to keep the website secure and working.
How we use it
- To reply to your enquiry and arrange taster sessions, meetings and classes.
- To deliver our programmes and report progress to parents, guardians and partner schools.
- To manage enrolment, scheduling and payments.
- To enter students for examinations, such as Trinity College London, when you ask us to.
- To meet our legal and regulatory obligations.
We only use personal data for these purposes, or for purposes directly related to them.
Direct marketing
We will not use your personal data to send you marketing, such as news about new programmes or events, unless you have agreed to it. You can withdraw your consent at any time, free of charge, by emailing contact@eruditeacademy.co.
Children’s personal data
Most of the information we hold about students under 18 comes from their parents, guardians or schools. We publish a student’s name, photograph, recording or work, for example in our Student Showcase, only with the consent of a parent or guardian, and that consent can be withdrawn at any time.
Who we share it with
We never sell personal data. We share it only where needed for the purposes above:
- Service providers that act for us: website hosting, email, our enquiry form service, meeting booking and video lessons.
- Examination boards, when a student is entered for an examination.
- Partner schools, for programmes we deliver with them.
- Law enforcement or regulators, where the law requires it.
Some of these providers store data outside Hong Kong. We choose established providers and take reasonable steps to make sure your data is protected to a standard comparable to Hong Kong law.
How long we keep it
We keep personal data only for as long as we need it for the purposes above, or as the law requires. We review our records regularly and securely delete what is no longer needed.
Keeping it secure
We take reasonable practical steps to protect personal data from unauthorised or accidental access, loss or use. Access is limited to the people who need it to do their work.
Your rights
You have the right to ask for a copy of the personal data we hold about you, or about a child in your care, and to ask us to correct it. Please send your request in writing to contact@eruditeacademy.co. We will respond within 40 days, as the Ordinance requires, and may charge a fee that is not excessive for providing copies.
